What does the employee implementation process involve?
The implementation process involves four steps:
- Load your employee email into your fully secure Vivup Platform and select a launch date
- Your personalised comms would be pre-agreed and will automatically begin sending to your employees on your chosen date, prompting them to complete their registration
- Employees confirm their email address, create a password and accept the terms and conditions
- Your employees now have immediate access to their benefits
How long does configuring and deploying your platform take?
Our launch process is tailored to meet your organisation’s unique needs, which means timelines depend on the benefits taken, your goals, and the number of employees
We discuss timeframe as part of our implementation process, ensuring have full visibility on timing from set-up to launch
Is there an option to add my company branding?
Yes, Vivup’s platform allows for company branding, including logos and organisation-wide messaging through banners and noticeboards
Is the platform accessible to team members and employees from any device?
Yes, Vivup’s platform (as well as Vivup’s platform support services) are all available online from any device
Does Vivup have an API?
We integrate with Active Directory, HR & Payroll platforms, and supplier systems through turn-key integrations (such as SAML SSO) as well as custom APIs

Does the platform offer the possibility of adding or removing functionality as needed?

Does the platform offer international benefits functionality?
No, we currently only offer our service within the UK
How long will it take to train our HR team?
While this depends on your organisation’s size and requirements, the platform is designed for ease-of-use, and training is designed to be a straightforward, efficient process
Security and Compliance FAQs
Can you manage all benefits and documentation in one hub?
Yes, Vivup is a centralised, one-stop-shop where you can manage both your benefits and relevant documentation on the same platform
Are there different role permissions to ensure employees only access the data relevant to their role?
Yes, we offer admin accounts where users can access order information, reporting, and customisation options. This differs from standard accounts, which can only access the benefits offered by your organisation
How is our data protected?
Security is paramount to all Vivup services and processes. Our cloud-based platform is held within UK government grade data centres hosted by Amazon Web Services (AWS). We perform regular backups and store them in a secure, geographically separate location, isolated from environmental hazards. We also ensure replication across three availability zones
User data is segregated and encrypted, including all platform data assets. Every request to and from any part of the Web platform is passed over a secure HTTPS connection
Platform access follows the principle of least privilege and is tiered according to role, and any change in access information audited, logged and available to Employer Administrators
We adhere to all requirements of GDPR and hold ISO 27001, Cyber Essentials and Cyber Essentials Plus accreditation
Our staff all receive annual and six-month refresher data protection training. We continually review NCSC's Cloud Security Guidance and ensure our providers abide by all documented principles including physical and data security, and data management
Can you support with benefits compliance?
SMEHCI Ltd is authorised and regulated by the FCA, FRN 626422. This means that the firm operates within the guidelines established by the FCA. This firm can approve its own financial promotions as well as those of members of its wider group and, in certain circumstances, those of its appointed representatives
Vivup does not provide tax advice, and any advice given to Vivup by PS Tax/Lavat is for Vivup use only. This information cannot be relied upon by organisations using our platform (i.e. it is not insured), and they cannot claim against either Vivup or PS Tax should HMRC take a different view. Vivup is not able to provide tax advice and would recommend organisations to seek their own advice. For specific questions in relation to tax, NICs and how to report this, independent tax and/or legal advice should be sought by the Client
